DEPOSIT AND RENTAL AGREEMENT

Procedure for Renting
  1. Review the information on our Website.
  2. Determine from the Availability Calendar that the time you are interested in is available.
  3. Use the Reservation Request form to verify the dates that you want are available.
  4. Receive confirmation email from us for dates requested and what the rental fee will be.
  5. Please fill out the Rental Agreement then send the rental agreement along with the deposit by a one day traceable service such as Fed Ex or UPS Next Day Service.
  6. Upon receipt of the items in number 5, we will send you a confirmation letter.
  7. Send us the rental fee 60 days prior to your scheduled arrival date.
  8. Upon receipt of rental fee, we will mail you the keys, map, and a letter containing specific condo information, including the condo phone number.
  9. Enjoy your stay.
  10. Complete the checkout as stated in the second letter.
  11. Our housekeeper cleans the condo and informs us if there are missing or damaged items. Our condo is a non-smoking residence.
  12. Return the keys to us through the mail.
  13. Provide feedback on your stay using our Guest Testimonials.
  14. We mail security deposit back to you.
Security Deposit
  1. Your reservation for our Northstar condo is confirmed and will be held for you upon receipt of your security deposit in the amount of $500.00.
  2. Overnight traceable service, such as Fed Ex or UPS Next Day Service, should be used to send the deposit, rental fee if due, and this agreement.
  3. You will ensure that the entire deposit is refunded to you by not damaging the condo in any way, completing all of the checkout directions and returning the keys to us through the mail.
  4. Any costs that we incur correcting any damages, replacing keys, extra cleaning charges, and the like will be deducted from your deposit. This rarely happens as our guests take excellent care of the condo.
  5. There will be a charge of $25.00 for any returned checks.
Cancellation Policy
  • We must receive your written cancellation at least 60 days prior to your arrival in order for you to receive a refund of your security deposit and rental fee.
  • If we receive your written cancellation notice less than 60 days prior to your scheduled arrival date, your security deposit and rental fee will not be refunded unless we are able to rent the condo for an equal or greater length of time. Any advertising costs to re-rent the condo will be deducted from your deposit.
  • All cancellations shall be charged a $50.00 service fee.
Term of Occupancy
  1. Our requirements for the minimum number of rental days vary for the Holiday and Regular Seasons. For the Holiday minimum requirements please see Rental Rates.
  2. For the Regular Winter Season, if your reservation is made more than 120 days in advance, we require at least a four night stay; 45 - 120 days in advance, at least a three night stay; and less than 45 days, a two night minimum stay.
  3. For the Summer Season, if your reservation is made more than 120 days in advance, we require at least a seven night stay; 45 - 120 days in advance, at least a five night stay; and less than 45 days, a two night minimum stay.
  4. For the Spring and Fall Seasons, we require a two night minimum stay.
  5. You are always welcome to contact us less than 30 days prior to the time you want to rent. If available, we will be happy to make the necessary rental arrangements.
Trip Cancellation Insurance

There are several companies that will provide coverage, including Travelex Insurance Services and Access America Travel Insurance & Assistance.
Benefits and services may include:

  1. Trip cancellation/interruption
  2. Medical expenses
  3. Baggage
  4. Twenty-four hour telephone assistance.

Early Arrivals and Late Departures

In order to provide our housekeeper with time to clean the condo, we must maintain our arrival and departure policy. If you arrive early and see that the condo has been cleaned, please feel free to enter the condo; otherwise wait until the condo has been cleaned.

We are not able to honor requests for late departures because our housekeeper needs time to prepare the condo for arriving guests.

Return of Security Deposit

We will return your security deposit to you after our housekeeper has cleaned the condo and checked for missing items and/or damages and after you have returned the keys to us through the mail.

Check-Out Procedures

Check-out procedures are detailed in the condo information letter and include:

  1. Starting the laundry (sheets first)
  2. Emptying all trash to the outside dumpster
  3. Leaving the four I.D. owners' cards on the hooks by the phone
  4. Turning the heat down to 55 degrees
  5. Closing blinds, shade, and drape
  6. Returning the keys to us via the mail
